The Pipeline

New Lead

Add the company, address, and decision maker. Use LinkedIn or the company website to find the right person.

Tip: Target firms with 5-20 staff - big enough to need help, small enough to decide fast.

Verify Decision Maker

Confirm you have the right person - the one who signs cheques. Check LinkedIn, call reception, or check their website team page.

Tip: "Partner", "Director", or "Owner" in their title = decision maker.

Write the Letter

Handwrite a short, personal letter. Keep it to 3-4 sentences. Mention something specific about their business.

Tip: Use a quality pen on nice paper. Include a small gift (coffee sachet, chocolate).

Post It

Mark the posted date in SHARP. This starts the 7-day countdown to follow-up.

Tip: Post in batches. Monday posting = Monday follow-up calls.

Ready to Call

After 7 days, the lead turns green. They've received your letter - now call to follow up.

Tip: "Hi [Name], I sent you a letter last week with some coffee..."

Make the Call

Keep it simple. Reference the letter, ask if they got it, and offer to meet for a proper coffee.

Tip: Call between 8-9am or 4-5pm when gatekeepers are less active.

Outcome

Either book a meeting (Won) or mark as No Interest. Record notes for future reference.

Tip: "No interest now" doesn't mean never. Note why and revisit in 6 months.

Writing Session Guide

Batch Size

Write 10-15 letters per session. This keeps quality high and prevents burnout.

Time Budget

Allow 6-7 minutes per letter including envelope. A batch of 10 takes about an hour.

Weekly Rhythm

Write Monday, post Tuesday, call the following Tuesday. Consistent cadence = consistent results.

The Letter

3-4 sentences max. Mention their business, why you're reaching out, and that you'll call to follow up.

I came across [Company] and was impressed by [specific thing - recent project, years in business, reputation].

I help accounting firms [your value prop - save time, grow revenue, etc]. Thought it might be worth a quick chat.
